    PRODUCT ENCODING STANDARD OPERATING PROCEDURE

    For Screwking & Unlistore E-Commerce Products


    1. PRODUCT NAME

    Use the following format:

    Brand + General Name + Product Name + SKU / Item Code

    Example:

    RIDGID 14" Abrasive Cut-Off Machine 614-2

    Rules:

    • Always include the Brand Name.
    • Include the General Product Name.
    • Include the specific Product Name / Model.
    • Include the SKU or Item Code when applicable.
    • Product Name must be clear and searchable.
    • Do not use unnecessary symbols or duplicate information.

    2. SHORT DESCRIPTION

    The Short Description should contain:

    Product Name / Product Type only

    Rules:

    • DO NOT include Brand Name.
    • DO NOT include SKU / Item Code.
    • Keep it short and easy to understand.
    • Describe what the product is.

    Example:

    14" Abrasive Cut-Off Machine

    Not:

    ❌ RIDGID 14" Abrasive Cut-Off Machine 614-2


    3. FULL DESCRIPTION

    The Full Description should provide complete product information.

    Required Information:

    3. Brand

    6. HEAVY ITEMS

    For products classified as Heavy Items:

    Shipping Settings

    • Disable Weight Calculation
    • Disable Standard Shipping Calculation

    Add to Admin Comment:

    Remark: Shipping Fee will be computed per shipment and it is shouldered by the Customer.

    This applies to products where normal shipping-rate calculation is not appropriate because of their weight, size, or shipping requirements.


    7. SKU / ITEM CODE

    SKU is REQUIRED.

    The SKU field cannot be blank.

    Rules:

    • Every product must have a unique SKU.
    • Do not use the same SKU for different products.
    • For products with different sizes/colors that are handled as attributes, use the appropriate attribute SKU where applicable.

    Example:

    SKU: RID-614-2


    8. MANUFACTURER

    Enter the manufacturer of the product.

    Example:

    Manufacturer: RIDGID

    If the manufacturer is the same as the brand, enter the manufacturer's official name.


    9. BRAND LOGO

    For the Manufacturer / Brand Logo:

    Required Size:

    • Width: 260 pixels
    • Height: 260 pixels
    • Resolution: 72 DPI

    Use a clear, official brand logo whenever available.


    10. CATALOGUE

    Assign the product to the correct catalogue/category.

    Example:

    Catalogue:
    Power Tools → Cutting Saw

    The catalogue/category must match the actual product.

    Example:

    A Machine Saw should be placed under:

    Power Tools → Cutting Saw

    Do not place products in unrelated categories simply to increase product exposure.


    11. PRODUCT TAGS

    Add relevant searchable keywords.

    Example:

    For a cutting saw:

    Product Tags:

    • Cutting Saw
    • Abrasive Saw
    • Metal Cutting Saw
    • Power Tool
    • Cut-Off Machine
    • Metal Saw

    Tags should help customers find the product through website search.


    12. VENDOR

    Enter the correct vendor/supplier responsible for the product.

    Example:

    Vendor: ABC Hardware Supplier

    Use the standardized vendor name already registered in the system.


    13. MARK AS NEW

    When encoding a new product:

    Start Date:

    Date of Encoding

    End Date:

    Date of Encoding + 1 Month

    Example:

    If encoded on:

    September 18, 2026

    Then:

    Start Date: September 18, 2026
    End Date: October 18, 2026


    14. PRICE

    Enter the selling price of the product.

    For products with attributes:

    Do not use one generic price for all attributes if the actual prices are different.

    The actual price should be entered inside the Product Attribute.


    15. WEIGHT

    Weight is required for normal products.

    Important Rule:

    If the product is an Attribute Product, set the main product weight to:

    Weight = 0

    Then enter the actual weight for each Product Attribute.

    Example:

    Product:

    PVC Pipe

    Attributes:

    AttributeActual Weight
    1/2"0.50 kg
    3/4"0.70 kg
    1"1.00 kg

    The main product weight:

    0 kg

    Each attribute contains its actual weight.


    16. DELIVERY DATE

    Enter the expected delivery/lead time according to the company's standard.

    Example:

    Deliver Date: 3–5 Business Days

    Use the actual applicable delivery information.


    17. STOCK QUANTITY

    Enter the available stock quantity.

    Example:

    Stock Quantity: 25 pcs

    Make sure the stock quantity matches the appropriate warehouse/inventory record.


    18. WAREHOUSE

    Select the correct warehouse classification:

    • Fixed
    • Heavy
    • Regular
    • Big Items
    • Light Weight

    Important:

    The warehouse classification should reflect the actual storage and handling requirements of the product.


    19. PRODUCT IMAGE REQUIREMENTS

    Every product should have a professional, consistent product image.

    Required Image Specification

    Image Size:

    • Width: 600 pixels
    • Height: 600 pixels

    Resolution:

    • 72 DPI

    File Format:

    • WEBP

    Maximum File Size:

    • 200 KB

    Final Requirement:

    600 × 600 px | 72 DPI | WEBP | ≤ 200 KB


    20. HOW TO GET PRODUCT IMAGES

    Use the following sources:

    1. Official Brand Website
    2. Manufacturer Website
    3. Company Website
    4. Amazon
    5. Alibaba
    6. Shopee
    7. Lazada
    8. Other legitimate online product sources
    9. AI-generated image when an appropriate source image cannot be obtained

    Example:

    Brand: RIDGID

    Search:

    • RIDGID official website
    • Product model/SKU
    • Google Images
    • Bing Images
    • Baidu
    • Shopee
    • Lazada
    • Amazon
    • Alibaba

    Search using the:

    Brand + Product Name + Model + SKU

    Example:

    RIDGID 614-2 Cut-Off Machine


    21. PRODUCT IMAGE EDITING — OPTION 1

    When the image can be copied:

    1. Copy the product image.
    2. Open Adobe Photoshop.
    3. Paste the image into Photoshop.
    4. Remove unnecessary background or elements.
    5. Resize the product appropriately.
    6. Set image size to 600 × 600 pixels.
    7. Set resolution to 72 DPI.
    8. Make sure the product is centered.
    9. Save as WEBP.
    10. Check that file size is 200 KB or less.

    Final Check:

    600 × 600 px | 72 DPI | WEBP | ≤ 200 KB


    22. PRODUCT IMAGE EDITING — OPTION 2

    When the image cannot be directly copied:

    Step 1: Open the product image.

    Step 2: Use Print Screen / Screenshot.

    Step 3: Open Windows Paint or Adobe Photoshop.

    Step 4: Paste the screenshot.

    Step 5: Crop the product image.

    Step 6: Remove unnecessary information.

    Step 7: Edit and clean the image.

    Step 8: Resize to:

    600 × 600 pixels

    Step 9: Set resolution:

    72 DPI

    Step 10: Save as:

    WEBP

    Step 11: Confirm file size:

    ≤ 200 KB


    23. PRODUCT MULTIMEDIA

    Add a YouTube video whenever an appropriate product video is available.

    Use the YouTube Embed URL.

    Example:

    Recommended:

    Do not use the normal YouTube watch URL when an embed URL is available.

    24. PRODUCT ATTRIBUTES

    Use Product Attributes when one product has multiple variations.

    Examples:

    • Different Colors
    • Different Models
    • Different Capacities
    • Different Lengths
    • Different Specifications

    Example:

    Attributes:

    • M6 × 20 mm
    • M6 × 30 mm

    25. ATTRIBUTE PRICE & WEIGHT

    The real price and real weight must be entered inside each Product Attribute.

    Example:

    Main Product:

    Weight = 0

    when the product is configured as an attribute product.


    26. ATTRIBUTE DISPLAY TYPE

    The selection method depends on the number of options.

    Less than 10 Options

    Use:

    Do not publish a product until all required information has been checked.
